What is a custom online booking system, and what do we build?

A custom online booking system is appointment software built around your business rules instead of a generic template. DDreamLab, a software company in Netanya, Israel, builds systems where clients book, reschedule and cancel on your website or in WhatsApp against the real availability of your staff, rooms and equipment. The system sends reminders, takes deposits through your payment processor and runs a waitlist, in Hebrew and your clients' other languages.

    “Anything tomorrow after four?” “Only at six.” “What about Thursday?” This back-and-forth happens on WhatsApp or the phone, right when you're with another client. By the time you reply, they've booked somewhere else, or the slot was agreed and nobody put it in the calendar.

  • An empty hour in the middle of the day

    A client doesn't show up and doesn't let you know. No reminder went out, no deposit was taken, and there's no waitlist to offer the slot to. A staff member, a room and prepared materials sit idle, and next week it happens again.

How we build a booking system around your business

  1. Map your rules

    We go through how booking actually works for you today: your services and how long each takes, who does what, which room and equipment each needs, the gap between appointments, how late clients may cancel and when you take a deposit. Fridays, holiday eves and staff vacations go into the rules too.

  2. Try a clickable prototype

    Before the full build, you get the booking flow on your phone: pick a service, a staff member and a time, then confirm. You and a few regular clients try it, and we fix every spot where someone hesitated.

  3. Build and connect

    The booking engine, the staff admin, reminders, WhatsApp and payments, each connected to what you already use: Google Calendar, your payment processor, your CRM or your client spreadsheet.

  4. Move what you already have

    We import your client list and upcoming appointments from Excel, a paper diary or your previous system, so no booking gets lost on switch-over day.

  5. Launch in stages

    We start with one service or one branch, walk your staff through the admin panel, and open booking to all clients once it runs smoothly day to day.

  6. Stay on after launch

    Holiday hours, a new service, a price change or another branch: we update the system. We also look at the step where clients abandon the booking flow, and improve that step first.

Who it's for: typical scenarios in Israel

  • Beauty salon or aesthetics clinic with a team

    Each stylist, cosmetician or therapist has their own services, prices and durations, sometimes their own branch. The client picks a treatment, sees only the people who perform it and when they're free, and pays a deposit for long treatments. In a chain, each branch sees its own schedule and the owner sees everything.

  • Treatment center with several rooms

    Physiotherapy, complementary medicine or speech therapy: a slot opens only when both the therapist and the room are free, a reminder goes out the day before, and late cancellations are flagged under your policy. Here we build booking and reminders only; medical information stays out of the system unless a legal review says otherwise.

  • Studio with group classes

    Yoga, dance or kids' activities: each class has a limited number of places, and anyone who signs up after it fills goes on the waitlist. Clients can cancel up to the cut-off you set, the place passes to the next person, and punch cards or memberships update with every visit.

  • Zimmers and holiday rentals

    A booking system for zimmers, Israel's countryside B&Bs, runs on different rules: seasonal and weekend pricing, minimum stays over holidays, a deposit on booking and the balance before arrival. The calendar can sync with Airbnb and Booking.com through iCal links. That sync isn't real-time, so we explain up front how to keep the risk of a double booking low.

Booking in WhatsApp, against your real calendar

In Israel, clients already message businesses on WhatsApp, so that's where they can book too. The bot reads the same calendar as your website and your staff: a client writes “anything Thursday afternoon?”, and the bot offers slots that are actually free, books one and sends a confirmation. The day before, a reminder goes out as an approved WhatsApp Business API template with buttons to confirm, reschedule or cancel, and a cancelled slot is offered to the waitlist. For clinics, the bot handles booking and reminders only: it doesn't ask about symptoms or answer medical questions, and storing any medical data requires a legal review first.

  • Rescheduling or cancelling takes one message, with no phone call and no waiting for a reply
  • Reminders go out at hours you choose, and stay quiet on Shabbat if your business keeps it

FAQ

Questions about custom booking systems

How much does a custom booking system cost?

It depends on how many staff, rooms and branches the system schedules, how complex your rules are, and where clients book: website, WhatsApp or an app. There are two parts: the build, and running costs such as hosting, WhatsApp messages billed by Meta and payment processing fees. If an off-the-shelf tool suits you better, we'll say so on the first call. Otherwise you get a written proposal.

How long does it take, and what happens to appointments already in the calendar?

The timeline depends on how many rules and integrations there are, and on how quickly your services, prices and cancellation policy are ready. WhatsApp booking also needs Meta to approve the message templates, which is outside our control. Before the switch we import your clients and upcoming appointments, then go live with one service or one branch first. You get a detailed timeline after the first call.

Will it work with Google Calendar, our CRM and the software we already use?

In most cases, yes. Each staff member's calendar can sync with Google Calendar or Outlook, and clients and appointments can flow into your CRM, Google Sheets or accounting software through a direct API or n8n. If your software has no API, we'll tell you upfront and suggest another route, such as a scheduled data export.

Does it work in Hebrew, English and Russian?

Yes. The booking page is built Hebrew-first, with a proper right-to-left layout, and can add English, Russian and other languages, up to six in one system. Clients book in their own language, confirmations and reminders arrive in that language, and each staff member sees the admin panel in whichever language suits them. On WhatsApp, the bot replies in the language the client wrote in.

How do deposits and cancellation fees work?

You set the policy: which services need a deposit, how late clients can cancel for free, and what happens on a no-show. Clients see the terms before they confirm. Payment goes through your processor, such as PayPlus, and receipts are issued the Israeli way. Card details stay with the processor, not in the booking system. No system eliminates no-shows entirely, but deposits and reminders cut them down.

Where is client data stored, and what about clinics?

Data is stored in your system, in a cloud account agreed upfront, and ownership of the code and the data is set in writing before work starts. We build with Israel's Privacy Protection Law and Amendment 13 in mind, and keep only what booking needs. For clinics, the system handles appointments and reminders only; storing any medical data requires a legal review first.
